Send a brief. Quote in 24 hours.

Travel agencies, tour operators, incentive houses and corporate planners - tell us what you need. First quotation is complimentary and valid for 4 days.

Our promise

Every brief gets a real person, not a queue. Your named coordinator replies within 24 hours — and never contacts your client directly.

The Brief

What to include so we can quote first time

The more of this you can give us, the closer the first quotation will be to the final one. None of it is mandatory - a rough brief is still worth sending.

  • Dates, or the window you are working within.
  • Passenger count and, for anything on a coach, the case count - vehicles are specced on luggage as much as seats.
  • Budget band, per person per night or for the programme.
  • Guide language - we work in English, German and Spanish.
  • Dietary requirements - halal, vegetarian, vegan or Jain. In Japan these decide the restaurant list, not just the plate, so they change the routing.
  • Anything already promised to the client: a named ryokan, a restaurant, a festival date.
What Happens Next

From brief to quotation

Within 24 hours

A named coordinator replies with a costed net quotation, itemised by service and valid for four days. Named hotels where we can commit to them, or-similar alternatives where we cannot, with the reasoning stated either way.

Before you confirm

We check your dates against the Japanese public holiday calendar and flag collisions while the itinerary is still moveable. Deposit and cancellation terms are published in advance on payment & settlement.

On the ground

Japan-based operations on Japan time, with a 24/7 contact for the duration of travel. We work behind your brand throughout.

If you would rather not use the form

Email b2b@vbjapandmc.com, or message the numbers in the footer. WhatsApp is monitored 24/7 for trade enquiries, and there is a South Asia desk on India Standard Time.

Who We Are

Who you would be contracting

Vb2010 Group Limited, NZBN 9429045892981, registered in Auckland, New Zealand, operating from our Wakayama office and our own Japan ground network. JATA Overseas Allied Member No. 43476.

Those are all verifiable in public registers, and we would encourage you to check them - for us and for anyone else you are considering. Our guide to vetting a Japan DMC sets out how, and our trade terms are published in full rather than produced on request.

FAQ

Before you send a brief

How quickly will I hear back?

Within 24 hours on every brief. The first quotation is complimentary, costed, and held valid for four days so you have time to put it in front of your client before Japanese rates move.

How much lead time do you need?

Single services, FIT and small groups can be taken on 24 to 48 hours notice. Larger group movements need 45 days. Premium venues and peak-window ryokan are contracted six to twelve months ahead, so those are worth raising as early as the programme exists.

Do you work with direct travellers?

No. We are B2B only - travel agencies, tour operators, incentive houses and corporate planners. If you are travelling to Japan yourself rather than selling it, your own travel agent can contact us on your behalf.

Will you contact my client?

Never. Programmes are delivered under your brand and documents carry your name. Your client does not learn ours unless you choose to tell them.

What if I do not have a full itinerary yet?

Send the brief anyway. Dates, pax and a rough idea of budget are enough to start. We would rather see it early and ask questions than wait for something polished.
